How to Convert Excel to PDF: Preserve Formatting (2026)

Convert Excel spreadsheets to PDF while keeping columns, formatting, and print layout intact. Four free methods compared.

Why Convert Excel to PDF?

Excel spreadsheets are designed for data manipulation — but they're unreliable for sharing. Column widths change on different screens, formulas expose proprietary calculations, and recipients can accidentally modify data.

Converting to PDF solves these problems:

  • Freeze formatting — columns, fonts, and colors display identically on every device
  • Hide formulas — recipients see values only, not your calculation logic
  • Prevent edits — PDF recipients can view but not modify your data
  • Print consistency — PDF pages match exactly what you'd print
  • Universal access — recipients don't need Excel to view the document

According to Microsoft's workplace survey, 83% of finance professionals convert Excel reports to PDF before sharing externally.

Method 1: Convert Online with AuraPDF

Convert Excel to PDF without having Microsoft Excel installed:

  1. Go to AuraPDF's Excel to PDF converter
  2. Upload your .xlsx or .xls file
  3. The converter preserves column widths, formatting, and sheet layout
  4. Click 'Convert' and download your PDF

Handles: Multiple sheets, cell formatting, charts, images, and color coding. Ideal when you don't have Excel installed or need a quick conversion on mobile.

Method 2: Save as PDF from Excel (Built-In)

Microsoft Excel's built-in PDF export offers the most control:

  1. Open your spreadsheet in Excel
  2. File → Save As (or Export → Create PDF/XPS)
  3. Select PDF as file type
  4. Click Options for advanced settings:
  5. - Selection — only convert selected cells
  6. - Active Sheet(s) — convert current sheet or all sheets
  7. - Entire Workbook — convert every sheet to pages in one PDF
  8. Choose Standard (print quality) or Minimum size (email)
  9. Click Save

Critical tip: Set your Print Area first! Excel converts what would be printed — so Page Layout → Print Area → Set Print Area to control exactly which cells appear in the PDF.

Page setup matters: Before converting: Page Layout tab → adjust Margins, Orientation (Landscape for wide sheets), Scaling (Fit Sheet on One Page), and Page Size.

Method 3: Google Sheets to PDF

Free conversion using Google Sheets:

  1. Upload .xlsx to Google Drive or open in Google Sheets
  2. File → Download → PDF Document
  3. Configure: Paper size, orientation, scale, margins, gridlines
  4. Click Export

Google Sheets' PDF options are quite good: • Choose landscape/portrait • Fit to width or actual size • Include/exclude gridlines and notes • Headers and footers with page numbers

Limitations: Complex Excel formatting (conditional formatting, pivot tables, macros) may not translate perfectly to Google Sheets.

Fixing Common Excel-to-PDF Problems

Problem: Columns cut off at page edge Fix: Page Layout → Scale to Fit → Width: 1 page. Or switch to Landscape orientation.

Problem: Too many empty pages in PDF Fix: Delete empty rows/columns beyond your data. Set Print Area to include only data cells.

Problem: Headers/footers missing Fix: Page Layout → Print Titles → set rows to repeat at top.

Problem: Charts appear blurry in PDF Fix: Use 'Standard' quality (not 'Minimum size') when exporting. Standard preserves 300 DPI images.

Problem: Multiple sheets create confusing PDF Fix: Name your sheet tabs clearly — sheet names appear as PDF bookmarks when converting the entire workbook.

Frequently Asked Questions

Can I convert Excel to PDF without Excel?
Yes. Use AuraPDF's free online converter — upload your .xlsx file and download the PDF. Google Sheets and LibreOffice Calc are other free alternatives that can open and export Excel files as PDF.
How do I fit a wide spreadsheet on one PDF page?
In Excel: Page Layout → Scale to Fit → set Width to 1 page. Or switch to Landscape orientation. For very wide sheets, consider splitting into multiple sections.
Will my Excel formulas show in the PDF?
No. PDF shows only the displayed values, not formulas. This is one of the main reasons to convert to PDF — it hides your calculation logic from recipients.
Can I convert multiple Excel sheets to one PDF?
Yes. In Excel, select 'Entire Workbook' when saving as PDF. Each sheet becomes a section in the PDF. In AuraPDF, upload the file and all sheets are automatically included.
